JOB PURPOSE:
To provide routine administrative or operational support working from detailed instructions for the Sales and Marketing department of Stanford University Press.
This entry-level position is perfect for a book lover looking to get into publishing and will provide exposure to a wide variety of sales and marketing activities. This role will report to the Sales and Exhibits Manager and assist with creating sales materials, handling logistics for academic conference exhibits, and fielding general inquires. This position will initially be remote, then work from the SUP office in Redwood City when on-site work becomes possible. CORE DUTIES*:
Greet visitors and route them to appropriate individuals, answer phones and serve as a resource on unit procedures and general inquiries from authors and vendors.
Assist in the creation of sales materials for new and forthcoming books.
Serve as a liaison with bookstores and private customers.
Occasional travel to academic conferences or book festivals.
Disseminate routine communications such as memos, notices, emails, and letters.
Perform office duties including, but not limited to, handling of incoming and outgoing mail, entering data into basic tables, reports, or spreadsheets, making copies, and monitoring and ordering of office supplies.
Track facility and/or office equipment, such as keys, card readers, and exhibits display items, via logs, and arrange repairs as needed.
Review invoices for accuracy, and initiate purchase requisitions.
Arrange meetings and assist with routine conferences including scheduling rooms, managing equipment, ordering meals and assembling materials.
May make travel arrangements as directed in compliance with unit, university, and sponsor policies.
Create and maintain files and filing systems.
Setup office spaces and/or support coordination of basic office moves.
May provide guidance to temporary and student employees on routine matters.

MINIMUM REQUIREMENTS:
Education & Experience:
High school diploma or equivalent.
Other Relevant Education May Include:
Bachelor's Degree preferred.
Knowledge, Skills and Abilities:
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Basic computer skills and demonstrated experience with office and database software and email applications.
Ability to follow through and complete assigned tasks.
Strong organizational skills and attention to detail.
Other Relevant Knowledge, Skills and Abilities May Include:
A demonstrated interest in publishing and a passion for books.
Lift/Carry/Push/Pull objects that weigh up to 40 lbs.
Experience with design software, such as adobe in Design is a plus.
PHYSICAL REQUIREMENTS*:
Constantly perform desk-based computer tasks.
Frequently sitting.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
Rarely twist/bend/stoop/squat, kneel/crawl.
