Administrative Associate 3, Haslam College of Business
The Office Marketing & Public Relations at the Haslam College of Business invites applications for a full-time, non-exempt Administrative Specialist III (Project & Admin Specialist). This position provides a broad range of specialized administrative, staff, and project management support in the Office of Marketing & Public Relations. The candidate will collaborate between MPR staff and departments, external vendors, and a variety of campus constituents through support of the Executive Director and the office. The Haslam College of Business is seeking candidates who have the ability to contribute in meaningful ways to the diversity and intercultural goals of the University.
Responsibilities:
* Create project management plans and schedules
* Manage multiple, simultaneous project schedules that include both internal and external resources.
* Set up and send meeting requests for creative process work, manage data entry including forms and invoicing, and manage and enforce the approvals process through each step of the creative process.
* Become familiar with, use daily, and train other staff members in the use of a creative dashboard product, entering information for multiple members of the team, updating projects daily, and printing/compiling reports from this service for the executive director.
* Create and manage estimates and budgets for projects and evaluate resources, making appropriate recommendations to keep projects moving forward in a timely and fiscally responsible manner.
* This position will support the Executive Director of Marketing and Public Relations at Haslam in the fulfillment of her responsibilities, as well as provide administrative support for the direct reports of the Executive Director. These responsibilities include but are not limited to: managing the Executive Director's calendar, setting up meetings and appointments, assisting in special projects, gathering and compiling information for reports and creating agendas, answering telephones and taking messages, training new office personnel, greeting clients, preparing letters, newsletters, records and related materials from rough drafts, corrected copy or recorded media, proofreading completed materials and making corrections, maintaining and running reports on all departmental, personnel, and financial records using the UT system and/or hard copies.
* Inventory, account for and maintain office supplies and equipment for the office and its employees, compose routine letters and replies based on general instructions, stay updated on UT policies and procedures, and attend administrative training, seminars and conferences as needed.
* This position may supervise student workers and/or interns within the office.
* Other duties as assigned by the executive director.
